What's included in a charter bus quote (and what isn't)?

Updated 2 min read Bison Charter editorial team

Quick answer

A charter bus quote normally covers the vehicle, a professional driver, fuel and the driving and waiting time from garage to garage. What varies between operators is whether the price includes gratuity, the driver's hotel and meals on overnight trips, parking, and cleaning fees. Always compare quotes on the same basis: ask each operator to confirm the total, deposit, inclusions and cancellation terms in writing.

Key facts

  • Quotes are usually for the vehicle and driver, counted garage to garage.
  • Gratuity is included by some operators and left to the customer by others.
  • Overnight trips add the driver's hotel and meals.
  • Deposits commonly fall between 10% and 50% of the total.
  • A quote's validity date matters: availability, not just price, can change.

Two quotes for the same trip can differ by hundreds of dollars and both be fair, because they include different things. Here's how to read a quote line by line.

What's almost always included

  • The vehicle you asked for, or a comparable one if you said you were flexible.
  • A licensed, professional driver.
  • Fuel. Some operators add a fuel surcharge when prices spike; ask if the quote is all-in.
  • Driving time, including deadhead. Deadhead is the empty driving between the operator's garage and your first pickup, and back again at the end.
  • Waiting time between drop-off and pickup, if it's part of your itinerary.

What's sometimes included

Item What to ask
Gratuity Is a tip built into the price, and if so, what percentage?
Driver hotel and meals For overnight trips, is the driver's room booked by you or by the operator?
Parking and tolls Are venue, airport or event parking fees extra?
Cleaning Is there a cleaning fee or damage deposit, especially for party buses?
Extra stops Are unplanned stops or itinerary changes billed by the hour?
Second driver For very long days, is a relief driver needed and included?

Deposit, payment and cancellation

A typical quote lists a deposit (often 10–50%) to hold the vehicle, a balance due date, and a cancellation policy that may become stricter as the date approaches. During peak season some operators require a larger deposit or full payment earlier.

How to compare quotes fairly

  1. Put all quotes on the same itinerary: same pickup times, stops and return.
  2. Convert everything to a total including gratuity and taxes.
  3. Check the vehicle and seat count, not just the vehicle type.
  4. Note the valid-until date. A cheaper quote that expires tomorrow may not be cheaper next week.
  5. Confirm the operator's insurance and safety certificate (see our guide to choosing a charter bus company).

On Bison Charter, every quote you receive is shown with the vehicle, seats, deposit, inclusions such as gratuity and driver hotel, and its expiry date, side by side.

Frequently asked questions

What is deadhead on a charter bus quote?
Deadhead is the empty driving between the operator's garage and your first pickup, and from your last drop-off back to the garage. Most operators bill it as part of the trip, which is why pickups far from any garage cost more.
Is gratuity included in a charter bus price?
It depends on the operator. Some build in a percentage, others leave it to the group. Ask, and compare quotes with gratuity added in so you're comparing like for like.
Who pays for the driver's hotel on an overnight charter?
The customer does, either through a line on the quote or by booking a room directly. Expect roughly $150 per night for a room and meals.
